Terms and Conditions

Arctic Pearl Explorer is a Norwegian sole proprietorship (enkeltpersonforetak) registered in Norway with organisation number 937 948 719, based in Tromsø, Norway. You can reach us at post@arcticpearlexplorer.com or +47 451 89 017.

All bookings begin as a request. When you submit the booking form you choose a tour, a date, one of the available departure times and the number of guests, and you provide contact details. We then review the request and respond by email to approve it, decline it or suggest an alternative.

A pending request does not reserve or hold places and does not reduce the availability shown on this website. Places are allocated only after we manually approve the request or set its status to “Awaiting payment”, and availability may change while a request is being reviewed.

A contract between you and Arctic Pearl Explorer is formed only when we send written approval and any required payment has been completed. Please do not book flights, accommodation or other arrangements on the basis of an unapproved request.

The minimum booking size is 1 person. Solo travellers may request and book a single seat on any of our scheduled experiences, and a solo traveller never has to pay for a second person.

Separately, every scheduled shared departure requires a minimum total of 2 participants in order to operate. This applies to the Northern Lights Chase, the Tromsø City & Hidden Spots Tour and the Hidden Fjords Tour. The minimum counts all participants allocated to the same tour, the same date and the same departure time, whether their bookings were made together or separately. Two separate solo bookings for the same departure therefore meet the minimum. Bookings for different departure times, different dates or different tours are never counted together.

Arctic Pearl Explorer assesses the minimum 24 hours before the scheduled departure time. If fewer than 2 participants are allocated to the departure at that point, we may cancel that departure. If we cancel a departure because the minimum number of participants was not reached, you choose between transferring your booking to another available departure at no additional charge or receiving a full refund of all amounts paid. No cancellation fee applies. This rule concerns whether the departure operates; it does not make a confirmed individual booking invalid, and it is separate from the terms that apply when you cancel your own booking, which are set out in the Cancellation Policy.

Prices shown on this website are per person in Norwegian kroner (NOK). Where a price is marked as to be confirmed, the applicable price will be stated in writing before your booking is approved. If we approve your booking request for payment, we send you a payment email containing a secure payment link and the payment details; approval for payment is not a confirmation, and we do not promise that any particular request will be approved. Your booking is confirmed only after the payment has been successfully completed and verified, at which point we send you a confirmation email.

All tours are currently conducted in English only. This website and these documents are available in several languages, but guiding during the tour takes place in English.

Arctic Pearl Explorer does not provide winter clothing or footwear. Guests are responsible for arriving dressed appropriately for Arctic conditions. On request we can direct you to a local business that rents suitable winter clothing. Such rental is a separate agreement between you and that business, is not included in the tour price, and we are not responsible for it.

• —Arrive at the stated meeting point at the stated time.
• —Follow the guide's safety instructions at all times.
• —Tell us before the tour about any medical condition, mobility need, allergy or other circumstance that may affect participation.
• —Take care of your own belongings, including cameras and phones.
• —Behave respectfully towards the guide, other guests, private property and nature.

We may refuse participation, or end participation during a tour, where a guest is intoxicated, behaves unsafely or disruptively, or ignores safety instructions. No refund is given in these cases.

Guests under 18 must be accompanied by a parent or guardian, who is responsible for them for the duration of the tour.

Arctic conditions change quickly. Routes, viewpoints, destinations, timings and the order of activities may be adjusted before or during a tour for reasons of weather, road conditions, safety, daylight or aurora activity. Such adjustments do not entitle you to a refund.

The Northern Lights are a natural phenomenon. Their visibility depends on weather, cloud cover and solar activity, and cannot be guaranteed. A tour that is operated as planned is considered delivered even if the aurora is not visible.

Cancellations, changes and refunds are governed by our Cancellation Policy, which forms part of these terms.

We strongly recommend that all guests hold valid travel and medical insurance covering the activities they take part in, including cancellation cover. Arctic Pearl Explorer does not provide insurance for guests.

Arctic Pearl Explorer is liable for damage caused by our negligence in accordance with Norwegian law. We are not liable for loss or damage caused by circumstances outside our reasonable control, including severe weather, natural events, road closures, strikes, power or network failures, illness, or acts of public authorities. We are not liable for indirect losses such as missed flights, missed connections or lost accommodation costs.

Nothing in these terms limits liability for death or personal injury caused by negligence, or any other liability that cannot be limited under Norwegian law.

We may take photographs during tours. We will ask for your consent before using a recognisable image of you in marketing, and you can withdraw that consent at any time by contacting us.

Personal data is processed as described in our Privacy Policy.

Please raise any complaint with the guide during the tour where possible, so that we can try to resolve it immediately. Written complaints can be sent to post@arcticpearlexplorer.com. If a dispute cannot be resolved, you may contact the Norwegian Consumer Authority (Forbrukertilsynet).

These terms are governed by Norwegian law. Disputes shall be brought before the Norwegian courts, with Nord-Troms og Senja District Court as the agreed venue, unless mandatory consumer rules provide otherwise.

These Terms and Conditions are originally prepared in English. Translations are provided for convenience and accessibility, and are intended to reflect the English text accurately. In the event of any inconsistency, ambiguity, mistranslation or difference in interpretation between the English version and a translated version, the English version shall prevail to the extent permitted by applicable law. Mandatory consumer rights and protections under applicable law are not affected.

We may update these terms. The version published on this website when your booking is approved is the version that applies to that booking.
