• —Booking requests: first name, last name, email address, telephone number, number of guests, selected tour, date and departure time, accommodation or pickup information, whether you want clothing rental information, your notes, your website language and the confirmations you tick.
• —Contact messages: first name, last name, email address, telephone number if you give one, subject and message.
• —Booking administration: correspondence with you, the status of your request, payment status and any notes needed to deliver the tour safely.
• —Website use: essential technical data such as your language choice and your cookie consent record. Analytics data is collected only if you consent to analytics cookies.

Please only give us health or accessibility information that is necessary for us to deliver the tour safely. We use such information solely for that purpose and delete it after the tour.

• —To review, approve, decline or adjust your booking request, and to deliver the tour — necessary for performance of a contract, or steps taken at your request before entering a contract (GDPR Art. 6(1)(b)).
• —To answer contact messages — our legitimate interest in responding to enquiries (Art. 6(1)(f)).

We do not sell personal data. We share it only with service providers who process it on our behalf under a data processing agreement: our website and database hosting provider, our email provider and, where relevant, our payment provider and accountant. Where a provider processes data outside the EEA, we rely on the European Commission's standard contractual clauses.

If you ask for clothing rental information, we simply refer you to a local rental business; we do not pass your details to them unless you ask us to.

• —Unapproved or declined booking requests: deleted within 12 months.
• —Confirmed bookings and related correspondence: kept for up to 5 years after the tour, in line with Norwegian accounting requirements.
• —Contact messages: deleted within 12 months of the matter being closed.
• —Cookie consent records: up to 12 months.

Under the GDPR you have the right to access your personal data, to have inaccurate data corrected, to have data erased, to restrict or object to processing, to data portability, and to withdraw consent where processing is based on consent. To use any of these rights, contact post@arcticpearlexplorer.com. We reply within 30 days.

If you believe we handle your data incorrectly, you may complain to the Norwegian Data Protection Authority (Datatilsynet).

Personal data is stored in access-controlled systems and transmitted over encrypted connections. Only people who need the data to handle your booking have access to it.
